Executive Assistant
The Executive Assistant must exercise professional
judgment and confidentiality to complete the
day-to-day tasks necessary to facilitate smooth
coordination of Agency operations. Responsibilities
include but are not limited to directing and
coordinating Agency operations & services and
serving as administrative support for all
departments:Duties & Responsibilities:
- Process incoming and outgoing mail
- Screen incoming calls and correspondence for
transfer to appropriate staff
- Serve as office manager
- Create Agency forms
- Monitor contracts and offer client support
- Maintain Agency calendar and coordinate
schedules for managers
- Maintain client database integrity
- Prepare monthly reports and meeting
materials
- Compose complex memos, reports and other
documents
Prerequisite Qualifications:
- To perform this job successfully, an
individual must be able to perform each
essential duty satisfactorily.
- Excellent oral and written communication
skills
- Strong analytical, organizational and
interpersonal skills
- Team player and team builder
- Thorough knowledge of business English,
spelling, punctuation and proof-reading
Software Proficiency:
- Microsoft FrontPage, Word and Outlook
- 1-2 years experience in administrative
capacity
- Ability to work independently and meet
deadlines to complete projects.
